Job Title & Role Description:

The Clinical Operations Specialist is responsible for the day-to-day administrative coordination of patient and staff workflows. This role ensures that patient assignments, discharges, and program capacity tracking are completed accurately and on time. The Clinical Operations Specialist also prepares reports and presentations to support leadership visibility and operational efficiency.

Responsibilities:

  • Maintain and update program capacity trackers for field staff to ensure balanced caseload distribution.
  • Assign patients to appropriate field staff based on program guidelines and current staffing capacity.
  • Review patient records for discharge readiness; complete and document patient discharges per process.
  • Extract and enter data into spreadsheets and presentation decks to support program reporting (no analysis required).
  • Create and update presentations in PowerPoint for internal and client-facing meetings.
  • Manage program documentation, trackers, and shared folders for accuracy and accessibility.
  • Coordinate scheduling, reminders, and communications via Outlook to keep teams aligned.
  • Provide general administrative support to clinical and operations leaders as needed.

Skills Required:

  • 2+ years of administrative or program coordination experience, preferably in healthcare or a related field.
  • Proficiency in Microsoft Office Suite, particularly:
    • Excel (data entry, pivot tables, sorting, filtering, simple formulas).
    • PowerPoint (building clean, professional decks with charts and visuals).
    • Outlook (managing calendars, scheduling, and email communication).
  • Strong attention to detail with proven ability to complete tasks accurately and on time.
  • Highly organized with the ability to manage multiple priorities and deadlines.
  • Excellent written and verbal communication skills.
  • Comfortable working independently in a fast-paced, remote environment.
